It's not just printer. Line spacing, paragraph settings, etc are stored in normal.dotx. It is not straightforward in Word to change template after the document is written. Send him your normal.dotx template, and he can copy it to his templates folder (rename his own normal before - so he can restore it after).

This is the dark side of writing more than a memo in Word...

try to lock formatting of document

There is another option. Click on one style, and then manage styles.. in the lower right part there is a check box called Automatically update - uncheck it, and repeat this for all styles

@Wobitancrawfodi - Out of interest did you get any feedback whether embedding fonts in the document worked?

No, still waiting for a response. It could be the weekend before he replies. I will reply as soon as I've got a response from him.

EDIT: he got back to me. Office 2010 can't read the document at all with fonts embedded. It doesn't open. Has 0 pages.

    I think it's time he upgraded :)

I also copied my normal.dotm to modified.dotm and changed my word doc to use that from a location that exists on both PCs (%public%\Documents - The normal.dotm resides in the user folder). Sent him the modified.dotm and the word doc with that template configured, and he still cannot open it.

I think I've broken it completely.

So you have written it using Word 2016 and your friend has Word 2010. Yes that could be the problem. I don't think you have broken it. Embedding fonts is nothing special. It is used when sharing documents to ensure they see what you see. I'm sure the problem is a backward incompatibility issue.

Your friend could try installing LibreOffice to see if he can open the file with the 'Writer' module. It is free so costs nothing but time and effort. See Home | LibreOffice - Free Office Suite - Based on OpenOffice - Compatible with Microsoft

    Good luck.

I think you're right. I've convinced him it's time to upgrade.

He;s going to upgrade to 2016 tomorrow so we'll see how that goes.

After that, I'll try embedding the fonts again.

Do you think that there is any value him using my .dotm template? So we are both using the same template?

If none of that works we'll try libre office.

Another possibility is that the file got corrupted in transmission. I say that because of the zero pages issue.

Regarding the .dotm template - No.

There is another website dedicated to MS Office. The section that deals with Word has experts that may help better. See: - Word Forum . If you post there be sure to give them the link to this thread so that they have the background as to what has already been tried so they do not go over the same ground.

    Good luck.

Whilst I don't know the source of the problem, I would have thought that ensuring both PCs are using the same template would be a must - rather than modifying the other party's .dotm, wouldn't it be better to attach a template to the document so that your normal.dotm was no longer in use? I don't know how to advise on the process.

It's a simple process to attach a specific template to a doc, then put the template in the same location on both PCs so that both docs would pick up the same template.

But somewhere along the path of embedding fonts then sharing the same template he went from being able to open the document and seeing all content, with different margins (so he saw 178 pages, where I saw 148), to him seeing nothing at all.

Your experience is a case study of why the PDF document format was introduced.

I suggest that you save your Word file as pdf then decide on a pdf reader that allows comments / annotations and/or highlights to be added.
Foxit reader is merely one example of a suitable choice.

    Best of luck,
    Denis

Try, OP explained that before. Other user is supposed to be able to edit the file with no restrictions. While this is kind of possible with pdf, it's not the same simple process as with .docx format
