    Problem with Outlook account profiles in left navigation pane


    I'm really hoping there's an Outlook expert on here since I didn't get too far with this question on the Microsoft support page.

    I just upgraded from Windows 7 (with Office 2010) to Windows 10 (with Office 2019) while also upgrading my computer with a new SSD.

    I have an online email account with GMX.COM and use two different email addresses with this email provider. I have them both connected to Outlook 2019 (like I had with Outlook 2010) via POP3. Before I upgraded everything, I saved the .pst files from Outlook 2010 for both email addresses.

    With Outlook 2019, I did the POP3 connection and had two email addresses set up in my left side navigation pane, just like before. Then I imported the .pst files from one email address name which for some reason ended up being imported into the other name. No big deal, I just moved those folders into and under the other proper email address name. (this email address has fewer folders).

    Then I imported the .pst files into the other email name (with more folders), but I think I must have not checked the appropriate boxes to make sure the folders were not duplicated because the folders did in fact get duplicated. So now I had duplicate junk folders, sent folders, deleted folders, inbox folders, etc.,... all under the same email address name. It also created a duplicate of the same primary email address account visible on the left navigation pane. I tried to delete this email address, but couldn't because the option to remove/delete is greyed out. I then deleted the account file under account settings, which prevented me from opening Outlook. So I restored the file, but this somehow produced a third duplicate primary account name in the left navigation pane.

    Aarrrgh!!

    So I went into the profile listings and deleted two of the three email address accounts that were the same. This cleared up the issue of duplicate email addresses in the left side navigation pane. But now, within that email address, I still have duplicate individual folders.

    Is there anything I can do at this point to get rid of the duplicate folders? Or is it possible to start over from scratch setting up my Outlook 2019 account again and re-importing the .pst files?

    I have no experience of Office 2019, but in 2010, what I would do, starting from scratch, would be to set up the email accounts and check they are working, then open each old .pst file one at a time, and manually drag & drop folders from old to new, using a rt-click to get the 'copy' option. I would create copies of the old pst files first, in case of errors.

    Please explain why you keep using the word "connected" instead of "set up" or similar.
    - There was once a useless tool called an Outlook connector that had no place except the dustbin.
    - That's the reason I am quibbling over your choice of words.

    Is every account is set up for the email retrieval method, pop3?

    You keep referring to the "left pane". I assume you mean the Navigation pane, Folder view.

    I imagine that I will suggest starting again from scratch.
    - If every account is set up for pop3 email retrieval and if you still have the pst files from your old computer then this should not be any bother at all.
    - You do not "import" anything at all.
    - You open Outlook from scratch, open the old pst files, copy folders across to wherever you want them.

    Sorry I didn't get back to this thread sooner. I have solved this problem.

    It all started when I changed email providers several years ago in Windows 7. Then when I recently upgraded to Windows 10, I noticed those .pst data files in My Outlook folder were under my old email account name. I thought I better rename the data files so that I wouldn't get confused in the future, or when I transferred them to my new SSD. But in the process, I ended up breaking the link to those .pst files or otherwise screwing up how Outlook imported those files in some way. When I set up Outlook 2019 with my new Win 10 installation, I seemed to be able to import the .pst data files, but they ended up duplicating within the folders. (it doesn't help that the wording of the import/export menu is not intuitive). Everything I tried to do to fix this ended up duplicating either the account names or the folders within the account. In the meantime, by setting the new Outlook with pop3 email server settings, it automatically created new .pst files, adding to my confusion.

    After doing several days of research, I finally found a guide for removing OneDrive from the .pst data file path which I figured could actually apply to my own problem. https://support.microsoft.com/en-us/...f-168d0aa9b38e

    By using this as a guide to rename and thus re-link the .pst data files to the right email accounts, I was able to fix the problem. Now that I know how to rename, move, remove, or add the email account .pst data files correctly, I will make sure this issue doesn't happen again.
