    Moving everything in Outlook 365 to a new computer


    I have Outlook as part of Microsoft 365 and plan to buy a new computer - clean install and start over with W10, and install Microsoft 365.
    I have 2 email addresses set up, have iCloud for Windows integrated, share all appointments and calendar items with my wife's account, and have over 100 contacts stored on iCloud but used by Outlook as the default contacts list.
    How do I copy EVERYTHING I have now to a new computer, and not double up on contacts etc.
    Using 20H2 19042.685 with Office up to date.

    Outlook 365 settings are stored in the cloud, and depending on what type of email accounts you have, then your emails, calendar items and addresses etc may also be stored in the cloud if they are webmail accounts such as Outlook.com, Hotmail, Gmail, GMX etc. If not, then use the Outlook 365 Import/Export feature.

    Outlook 365 does not use (create) PST files for mail; it uses .OST files stored in the PC's user profile. And the link Samuria posted if for importing .PST files into Outlook, not saving or moving them.

    If you want want your .OST files, you'll need to backup your C:\Users\user\AppData\Local\Microsoft\Outlook. In the Outlook folder you'll find the .OST files where you mail data is stored.

    BTW you can import and use .PST files in Outlook 365 (I do), and that PST file can be located anywhere you put it. More on that later. But for O-365, your base data is stored as stated above.

    And yes, I'm using Office 365 with the desktop Outlook app.

    Sygnus, my Outlook folder has Outlook.pst and no .ost files.
    Maybe I should have clarified that my email accounts are both POP3 hosted by my local ISP, if that makes a difference.
    I tried the Export/Import .pst file (as I have before with no success) but it can only be done from within Outlook, which means I have to set Outlook up before importing the .pst file. This seems to be where I run into trouble. When finished, it was nothing like what it should have been. I could not send email, there were no contacts or calendar.
    I exported just one .pst, Personal folders, including subfolders. Is that the right way, or should I backup each subfolder - ie Inbox, Sent, Drafts, Deleted, Calendar, Calendar from iCloud, Contacts etc.

    Yes, if you use those formats, I suppose they would create .PST files. I don't use POP at all, only IMAP so...

    Anyway, you could look into the folder I specified or look in Documents - Outlook folder. I use a .PST file as my master contacts / calendar data file and keep it in my Documents folder, but I can be put anywhere I chose to.

    If you need to Import email, contacts, and calendar from an Outlook .pst file

    If you simply want to import the entire .PST file to Outlook 365 as a Data File (as I do). Just Open Outlook, File, Account Settings, click "Account Settings", click the "DATA Files" tab, click "Add...", and find the .PST file you want to add to Outlook. This will add the pst file as a data file to be used as a master contacts or calendar. You won't be able to receive mail to it, but you can send from it, though it'll use Outlook's default mail service - the account you setup as your default email service.

    The problem with Samuria's post is it assumes you're importing an organization's .pst file. If you aren't doing that, that link wouldn't apply to you.
