    Outlook 365 inconsistent login behaviour with IMAP gmail


    I am using Office 365 and several of my machines have switched to modern authentication for Gmail recently. A window popped up, asking me for my google login and password and I got the 2FA prompt on my phone correctly. So far everything works.
    One machine refuses to do so and insists on using basic authentication with a google app password. Is there something I need to do on this machine to enable modern authentication for IMAP gmail, or is it just a question of time until the machine does so on its own?

    I'm really not sure things are working correctly.

    Are you using an app password on all the machines that are challenging you you with a 2FA.

    Using 2FA doesn't mean you get challenged ever time, you get challenged on new devices.

    Normal once you've used your app password that is good enough. App password are complex passwords, difficult to guess.

    Of course if you want to be challenged that is your choice. I assume your device already has a good password.

    As to the machine that is using an app password. Go to your Google Account, click on your picture or initials upper right corner of browser gmail. Once you click on Google account on the page that open is security checkup. Look in devices, you likely can remove this device.

    Additionally and maybe this is the first thing to do, once you've started Google Account click Security on the left, you should see center screen App passwords, Think you can delete existing.

    Tons of stuff in Google Account.

    Let me be a bit more precise:
    Previously all my machines were using Google App passwords for Outlook 365 / Gmail. This has worked without issues since I installed Outlook 365 six months ago. I assume this is because Outlook 365 used to not be able to use OAuth authentication. In contrast, Windows Mail has always supported OAuth authentication and never required a Google app password.

    After the switch of login method, I was able to delete the Google app password for the device and the device now appears under "Third-Party apps with account access" for Gmail in the Google Account page.

    Once I had completed the first login with OAuth authentication (and the F2A screen, because I activated this for Google), login happens automatically when I launch Outlook 365. I do not have to login every time.

    All devices went through this process except one, which is continuing to require a Google app password. My question is why one machine does not change to OAuth authentication, while all the others did so.

    Just a comment. I have Office 365 and within the last two months Outlook has changed my incoming e-mail POP server twice. My ISP, Spectrum, has several different e-maill servers as they bought Time Warner and Brighthouse Cable companies about 2 years agon. Outlook changes to one of their e-mail servers but not the correct one. I did not change it. The only way to get it corrected is to restore the disc image to an earlier date when it was correct. Nothing I can do within Outlook account setup will change. I even deleted the account and tried to create a new (correct) account but it just comes back with an error message.

    I've long since complained about the lack of configuratation possibilities for email accounts in the latest versions (click2run) of Office 2016/2019/365 especially if you have different inbound / outbound mail servers / different user accounts on them etc etc.

    However there is an applet in the control panel (still called Mail Outlook 2016) which allows access to the classical advanced configuration screens --the new simplified screens are 100% useless if you have anything other than typical bog standard email acounts that the Ms database knows about -- the auto customising screens are an abomination !!

    If you have an older version of outlook 2016 you can export and re-import (it's a reg file) the profiles but that's a bit of a messy solution.

    Use the control panel applet while it still exists. Confusing but for O/2106,O/2019,O/365 it's still called Mail Outlook 2016.

    Use the manual setup ( 2nd option on screenshot 2 - haven't got english version but it's in the same place on an eng screen) -- then you'll get all the advanced options etc as before Ms went for the rediculous "auto setup" things - these do actually work !!!! I have some accounts with domain mail servers and they all send / receive mail via outlook 2019 perfectly now.

    Have you confirm that all versions of Office are at same maintenance level, that is you manual checked for updates on the troubled machine.

    One last clarification, if you change the password being used on the troubled machine to your regular password (update account settings) what happens?

    The revision levels seem to be the same.

    If I change to my Google password, Outlook tells me I need a Google app password.

    My intent was to change the password within Outlook on the troubled machine to your regular password hoping it in turn would trigger the 2fa request.

    My last machine has now decided to switch to OAuth as well. So all is fine and consistent again.
